Lexa Resume Privacy Policy

1. Information We Collect

Account Information:

• Email address for account creation and communication
• Name (optional) for personalization
• Profile picture (optional)
• Account identifier, sign-in provider, and authentication session information managed by Firebase Authentication

Content You Create:

• Resumes, cover letters, and professional summaries you generate
• Job descriptions you input for ATS matching
• Application tracking statuses and salary expectations
• Text extracted from PDF or DOCX files you choose to import

Usage Information:

• App settings, language, theme, search history, subscription status, and feature-usage counters
• Device information, app version, and build number included in feedback or diagnostics
• Crash reports and technical error information collected through Firebase Crashlytics on supported platforms
• Feedback messages and screenshots you voluntarily submit

Technical Data:

• Firebase account identifiers and synchronization metadata
• Authentication tokens and session state used to keep you signed in
• Crash, error, operating-system, and device diagnostic data
• Timestamps used for synchronization, reminders, and account activity

2. How We Use Your Information

Core Service Delivery:

• Process your content through AI to generate tailored resumes and cover letters
• Sync your application data across your devices in real-time
• Provide ATS capability matching against job descriptions
• Generate tracking analytics and application funnels
• Synchronize your data across signed-in devices

AI Processing:

• Send the content required for an AI request to Google Gemini when you initiate that request
• Analyze resumes to extract key professional skills and metrics
• Generate summaries, experience bullets, and career insights

Product Improvement:

• Review feedback and diagnostic information to improve features
• Fix bugs and enhance performance
• Develop new AI capabilities to accelerate job hunting

Communication:

• Send important service updates
• Provide customer support
• Send product communications where you have consented or where permitted by law
• Send security alerts when necessary

3. AI Processing & Third-Party Services

Lexa Resume uses Google Gemini through Firebase AI for AI-assisted resume and cover-letter features. AI processing occurs when you choose to use a feature that requires it.

AI Service Providers:

• Google Firebase AI and Gemini: AI-assisted resume and cover-letter generation and improvement
• ATS matching and application analytics that do not require generative AI are calculated within the application

Information Sent for AI Processing:

• Depending on the feature, requests may contain resume content, cover-letter content, job descriptions, extracted document text, and instructions you provide
• Only use an AI feature with information you are comfortable having processed by Google
• Google processes AI requests under its applicable Firebase, Gemini, and privacy terms

4. Data Security & Protection

Lexa Resume uses reasonable technical and organizational safeguards appropriate to the information processed. These include encrypted network connections provided by the operating system and Firebase services, authenticated access to user-scoped cloud records, local application storage, and access controls for production services. No method of electronic storage or transmission is completely secure, so we cannot guarantee absolute security.

5. Data Sharing & Disclosure

We do not sell your personal data. We only share data in these limited circumstances:

Service Providers:

• Google Firebase for authentication, database synchronization, app infrastructure, and crash reporting
• Google Firebase AI and Gemini for AI requests you initiate
• Google Play or Apple App Store for distribution, purchases, and subscriptions, where applicable
• Providers required for hosting, customer support, or operating the Lexa Resume website

Legal Requirements:

• Court orders or legal process
• Compliance with applicable laws
• Protection of our legal rights

Business Transfers & Consent:

• Mergers or acquisitions (with continued privacy protection)
• Sharing with third-party integrations you explicitly enable

6. Data Retention

Account & Content Data:

• Retained while your account is active
• Account deletion initiates immediate removal of your Firebase Authentication account and synchronized career data; Lexa Resume does not intentionally apply a 30-day waiting period
• The app also clears its local career database, app preferences, and generated thumbnail caches on the device where deletion is performed
• Deleting individual content removes it from the app and synchronized user collections

Information Handled Separately:

• Crash reports, security records, transaction records, and information required for legal or accounting purposes may be retained for as long as reasonably necessary
• Information maintained by Google Play, Apple, Firebase, or another provider is subject to that provider's retention practices
• Residual copies may remain temporarily in service-provider backup and disaster-recovery systems until overwritten under normal retention cycles

7. Your Privacy Rights

Access, Portability, & Correction:

• View and edit supported career information in the application
• Export supported resumes and job-search information in available formats
• Edit your profile, settings, and career information at any time

Deletion & Control:

• Delete specific application records or your entire account at any point
• Request access, correction, deletion, restriction, objection, or portability where applicable law provides those rights
• We may verify your identity and may retain information where an applicable legal exception requires or permits it

8. Regional Privacy Rights

The following rights apply subject to the definitions, requirements, and exceptions of the law applicable to you.

GDPR Rights (EU/UK):

• Right to be informed about data processing and right of access
• Right to rectification of inaccurate data
• Right to erasure ("right to be forgotten")
• Right to restrict processing and data portability
• Right to object to processing and automated decision making

CCPA Rights (California):

• Right to know what personal information is collected
• Right to delete personal information
• Right to opt out of sale or sharing where applicable; Lexa Resume does not sell personal information
• Right to non-discrimination for exercising privacy rights

9. Children's Privacy

Lexa Resume is intended for job seekers and is not directed to children under 13. Where local law requires a higher minimum age for independent consent to online services, that higher age applies.

• If we learn that we collected personal information from a child in circumstances requiring parental consent, we will take reasonable steps to delete it.
• Parents and guardians can contact us to review any information or request deletion.

10. International Data Transfers

Lexa Resume and its service providers may process information in countries other than the country where you live. Those countries may have different data-protection laws.

Where required, we rely on safeguards provided by applicable law and by our service providers for international transfers.

11. Cookies & Tracking

Essential Storage & Diagnostics:

• The web application may use local storage, authentication state, and similar technologies required for account access, synchronization, preferences, security, and core functionality
• Mobile and desktop applications use local application storage for similar purposes
• Firebase Crashlytics collects crash and diagnostic information on supported platforms
• Lexa Resume does not use behavioral advertising trackers or sell information for cross-context behavioral advertising

12. Privacy Policy Updates

We may update this Privacy Policy to reflect changes in our practices or legal requirements.

We will update the "Last Updated" date when we publish a revision. If a change materially affects how we use personal information, we will provide additional notice where reasonably possible or legally required.
